Inside Sales & Logistics Coordinator

The role of the Inside Sales & Logistics Coordinator is to be a bridge between the Van Belle Sales Team and our partners when it comes to booking appointments, order entry, scheduling shipments, booking carriers and all matters of logistics to help the Young Plants business unit run smoothly in fulfilling our Young Plants Brand Promise.

Van Belle Nursery Young Plants is located in Old Clayburn Village where the scenery is beyond beautiful. At this location we propagate 400+ varieties of plants, many of which are highlighted in our show garden. Van Belle Nursery practices open book management, sharing the financials, and giving employees a stake in the outcome through a profit sharing program. Goals for this role:

Inside sales: prospect, cold call, and book meetings for the Account Managers in order to drive revenue and our business forward.

Call 150 prospects a week.

Book 5 new presentations a week.

Logistics: Assist our reps in building loads, mapping routes, finding carriers, and getting our product smoothly to our partners in the same shape that it left our nursery.

Administrative support to our sales team: order entry, order changes, accurate plant/pot/tag inventory on order, available space on a pallet to maximize freight and revenue, AR support to bring in cash to our business, purchasing support for tags and pots.

Responsibilities for this role:

Sales Support:

Prospect and make cold calls to book meetings for our sales team.

Enter orders, make changes, commit new plants based on shortages, communicate shortages with reps.

Support reps with partner ordering habits, track changes to orders - assist reps to get information their partners need.

Set up new customers, confirm with brokers that partners are set up for cross border shipping.

Adjust pack sets, PO#'s, name changes, shipping requests, and communicate these to the shipping team.

Coordinate with the sales team the samples and marketing materials for their trips and customers.

Deal with administrative paperwork.

Accounting :

Accounts receivable(AR), sending reminder emails and overdue emails to the customers that have net terms. Phone calls if needed for collecting money.

Issue credit memos for customers at their request after the director of sales approves the credit.

Post pot orders when they ship, email partner their invoice, and send a copy to AP.

Shipping Logistics Support:

Ensure all orders are ready for shipping as it pertains to pots, tags, pallet space and pallet filling.

Arrange arrival of trucks, notify teams of arrival, and sign off on load securement.

Arrange carriers and coordinate paperwork for incoming material when needed (stock plants etc.).

Generate load paperwork and forward it to the carrier in advance of the shipment for customs clearance.

Deal with customs/brokers if questions arise as it pertains to load contents or paperwork.

File CNCP paperwork for each load, file BOL for each load.

Ship Finished Plants in the system, liaise with the Shipping Coordinator, and FP timing and shipping of loads.

Help schedule when loads leave/land with reps, partners. Coordinate with the Shipping Coordinator when shipping can happen and adhere to those timelines.

Post shipped loads.

Working Conditions:

Be prepared to work additional hours as required; especially during seasonal demands from March through July.
Employees provide their own safety footwear (per OHS 8.2).

Requirements for this role:

2 years inside sales experience (cold calling and lead generation)
Experience working with Google Word, Excel and PowerPoint
2-3 years experience in logistics
Experience presenting to large groups of internal and external partners
Strong leadership and organizational skills
Ability to multitask with excellent attention to detail
Excellent problem solving and communication skills
Reliable vehicle to get to and from work.
